If a customer says they left you a review but it hasn’t appeared in your SoTrustworthy dashboard, the delay is usually caused by Google’s automated review moderation filters, a routine API sync delay, or an expired Google connection. In most cases, if the review is already visible on your public Google Maps listing, it will sync to your dashboard within a few hours. If the review isn't visible on Google either, Google's system is likely holding it for a policy check before publishing it.
Here is a breakdown of why new Google reviews don't show up immediately, how to diagnose the issue, and how to get your dashboard updated.
1. Google is Holding the Review for Moderation
The most common reason a review isn't showing up in SoTrustworthy is that it isn't published on Google yet.
When a customer clicks the link in your SoTrustworthy SMS invite and submits a review, Google does not always publish it instantly. Google uses automated security filters to scan every submission for spam, fake accounts, or content policy violations.
Google may temporarily hold or permanently block a review if:
- The customer used public Wi-Fi: If a customer submits a review while connected to your shop's Wi-Fi or a public network, Google may flag the IP address as potential self-reviewing.
- The review contains restricted text: Words that look like phone numbers, web addresses, dollar amounts, or prohibited language can trigger manual or algorithmic reviews under Google review policies.
- The user account is brand new: Google scrutinizes reviews left by newly created Gmail accounts with no prior activity.
- A sudden spike in reviews occurred: If you recently imported a large list of customers or turned off review-request throttling, a sudden influx of reviews can trigger Google’s anti-spam guardrails.
How to verify: Open a new browser window in Private/Incognito mode and search for your business on Google Maps. Look at your total review count and scroll through recent reviews. If the review is missing on Google Maps, Google has not published it yet.
According to Google Business Profile help guidelines, moderation delays can take anywhere from a few hours to 72 hours. Once Google approves and publishes the review on your public listing, SoTrustworthy will pull it into your dashboard on the next automatic sync.
2. API Sync Delays Between Google and SoTrustworthy
SoTrustworthy uses Google’s official Business Profile API to securely fetch new reviews and feed them into your dashboard. To manage server load and strictly adhere to rate limits set by Google, our system polls Google's servers periodically throughout the day rather than constantly streaming data every second.
Depending on your subscription tier (Starter, Growth, or Pro), your account updates automatically multiple times per day.
If a customer leaves a review at 2:00 PM and your account's next scheduled sync is at 4:00 PM, the review won't show up in your feed during that two-hour window.
How to Force an Immediate Sync
If you know a review was just posted on Google Maps and you want to see it right away:
- Log into your SoTrustworthy account.
- Navigate to Reviews in the main sidebar.
- Click the Refresh Reviews button near the top right corner of the dashboard.
- Allow 30 to 60 seconds for SoTrustworthy to query Google’s API.
3. Your Google Account Integration Needs Re-authentication
Google requires security tokens to connect your Google Business Profile with third-party software like SoTrustworthy. For safety reasons, Google automatically expires these security tokens periodically, or whenever one of the following occurs:
- You changed the password for the primary Google account managing your business profile.
- You modified permissions or removed user roles inside Google Business Profile Manager.
- Google triggered a routine security reset on your account.
When a token expires, SoTrustworthy loses permission to read your incoming reviews. Your SMS-first automated workflows will continue sending review requests to your customers, but new responses cannot be pulled back into your dashboard feed.
How to Reconnect Your Google Business Profile
- In your SoTrustworthy dashboard, go to Settings > Integrations.
- Locate the Google Business Profile card.
- If you see a status that says Disconnected, Action Required, or Token Expired, click Reconnect.
- Log into the Google account that owns or manages your Google Business Profile listing and grant permissions.
- Once reconnected, click Sync Now to pull in all missing reviews accumulated while the connection was offline.
4. The Customer Opened the Link But Didn't Finish Submission
SoTrustworthy's SMS-first workflow sends direct, frictionless links to your customers immediately after a service call, job completion, or appointment. When a job completes in your field management platform—such as Jobber or HubSpot—SoTrustworthy sends an automated text message inviting the client to share their feedback.
When a customer clicks the link in your text message, SoTrustworthy tracks the click. However, clicking the link only opens Google's review box on the customer's phone or computer. The customer must still select a star rating, type their text (optional), and tap Post inside Google's interface.
Sometimes a client opens the link, gets interrupted by a phone call, closes their browser, and forgets to tap Post.
In your SoTrustworthy analytics, you might see that an invite was "Opened" or "Clicked," but if the user didn't complete the final step on Google, no review will exist to pull into the dashboard.
Note: SoTrustworthy strictly enforces anti-review gating standards. We present all customers with a direct pathway to leave public feedback on Google to comply with FTC regulations and Google terms of service. We do not block or filter unhappy customers from leaving reviews.
5. Review Was Posted to a Different Location Profile
If your business operates across multiple locations or regional franchises on a Growth or Pro plan, verify that you are viewing the correct location dashboard.
When home-service businesses (like HVAC technicians or plumbers) dispatch across overlapping territories, an automated trigger from Jobber or HubSpot might assign a job to Location A, while the customer manually searches and posts their review under your Location B profile on Google Maps.
If a customer posts a review on Location B, but your SoTrustworthy dashboard view is currently filtered to Location A, the review will not show up in your current feed.
To check across multi-location accounts:
- Click the Location Selector dropdown in the top navigation bar of your dashboard.
- Switch to All Locations or select the specific secondary profile.
- Search for the reviewer’s name.
Step-by-Step Troubleshooting Checklist
If you are missing a expected Google review, work through these steps in order:
- Check Google Maps publicly first: Search for your business in an Incognito window. Can you physically see the review live on Google Maps?
- No? Google is holding the review for automated spam moderation. Wait 24–48 hours.
- Yes? Move to Step 2.
- Check your Integration Status: Go to Settings > Integrations in SoTrustworthy. Is your Google account showing a green Connected status?
- No? Click Reconnect and follow the prompts.
- Yes? Move to Step 3.
- Trigger a Manual Sync: Go to the Reviews tab in SoTrustworthy and click Refresh Reviews. Wait 60 seconds and check if the total review count updates.
- Verify the Customer Name: Ensure the customer posted under their real name and not an anonymous handle, family member's account, or business name on Google.
When to Contact Support
If a customer's review has been visible publicly on Google Maps for more than 48 hours, your Google Integration in SoTrustworthy shows as active and connected, and clicking Refresh Reviews does not display the entry, reach out to our team.
