SoTrustworthy detects completed jobs in real time by listening to automatic signals from your CRM or field service software (like Jobber or HubSpot). When a technician marks a job as "Completed" or "Paid" in your management tool, SoTrustworthy receives a secure notification and automatically queues an SMS review request. For businesses without a connected CRM, completed jobs can also be logged manually or via bulk spreadsheet uploads.
Native CRM Integrations (Jobber & HubSpot)
For most home-service businesses, job completion tracking happens entirely in the background. SoTrustworthy uses direct API webhooks to monitor activity inside your primary business software.
When you connect your software during setup, SoTrustworthy establishes an active "listener" for specific trigger events.
Jobber
If you use Jobber to schedule technicians, manage work orders, and bill clients, SoTrustworthy communicates directly with the Jobber API. You can choose which specific event triggers a review request:
- Job Marked Complete: As soon as your technician taps "Complete Job" on the Jobber mobile app at the job site, Jobber sends a notification to SoTrustworthy.
- Invoice Paid: If you prefer to wait until payment is secured, SoTrustworthy can hold off until an invoice status changes to "Paid" inside Jobber.
- Visit Closed: Ideal for recurring services like weekly pool maintenance or lawn care, where individual visits are marked finished without closing out a master contract.
HubSpot
For businesses using HubSpot to manage customer lifecycles, project pipelines, or service tickets, SoTrustworthy tracks updates to your CRM records.
- Deal Stage Changed: Automatically queue a request when a deal moves into the "Closed Won" stage or a custom pipeline stage (e.g., "Installation Complete").
- Ticket Status Closed: For service-based tickets (such as a HVAC repair or customer support ticket), SoTrustworthy triggers when the ticket status updates to "Closed" or "Resolved."
Once the trigger fires, customer data—including first name, phone number, and service type—is passed securely to SoTrustworthy.
Custom Webhooks and Zapier
If your business uses software outside of our direct native integrations (such as custom-built field software, ServiceTitan, Housecall Pro, or Workiz), SoTrustworthy uses webhooks and Zapier integrations to detect completed work.
Webhook Endpoints
On our Pro plan, SoTrustworthy provides a unique Webhook URL for your business account. Your software developer or IT administrator can configure your internal system to send an HTTP POST payload to this endpoint whenever a job status updates to completed. The payload includes basic customer profile fields (Name, Phone Number, Job ID).
Zapier App
You can use our official Zapier connector to bridge over 5,000 different web applications. You simply create a "Zap" where:
- Trigger: A new completed order, closed ticket, or paid invoice occurs in your app.
- Action: SoTrustworthy creates a contact and schedules a review request.
Manual Triggers and Bulk CSV Uploads
Not every business uses an automated CRM, and some business owners prefer manual control over who receives a text message. SoTrustworthy provides two straightforward ways to manually signal job completions.
1. The Quick-Send Dashboard
If you run a small operation—such as a solo plumbing or auto detailing service—you can log completed jobs in seconds directly from the SoTrustworthy dashboard on your smartphone or desktop:
- Click Send Request.
- Enter the customer's first name and mobile phone number.
- Select the job type or service location (optional).
- Click Submit.
The system immediately processes the entry according to your business's default delay settings.
2. Batch CSV Uploads
If you perform dozens of service calls daily and review your work orders at the end of the day or week, you can upload a CSV file containing your completed job log.
Your file only requires two columns: Customer Name and Phone Number. Once uploaded, SoTrustworthy processes the list, formats the numbers, filters out invalid entries, and queues the review requests automatically.
Smart Timing: Delays and Throttling Rules
Detecting that a job is completed is only the first step. Sending an SMS review request the exact second a technician steps into their truck isn't always optimal. SoTrustworthy includes automated timing guardrails to ensure your requests convert at the highest rate possible.
Send Delays
You can set a custom delay between job completion and message delivery. Popular options include:
- Immediate (0 Minutes): Best for counter service, express car washes, or emergency roadside assistance where the customer is still paying.
- 1 to 2 Hours: Ideal for HVAC, plumbing, or residential cleaning. Gives the customer time to inspect the work and settle back into their routine.
- Next Morning (9:00 AM): Recommended for late-afternoon or evening jobs, ensuring you never text a customer after business hours.
Smart Throttling
If you serve recurring customers—such as a pest control company visiting the same home every month—sending a review request after every single job can lead to customer frustration and high opt-out rates.
SoTrustworthy uses contact-level throttling rules:
- Frequency Cap: By default, SoTrustworthy will not send more than one review request to the same mobile phone number within 60 days (customizable in your settings).
- Duplicate Detection: If a job completion signal is sent twice for the same job ID or within a 24-hour window, SoTrustworthy automatically ignores the duplicate event.
Compliance and Policy Enforcement
When SoTrustworthy receives a completed job event, it verifies two critical compliance standards before any message is sent:
TCPA & SMS Opt-Out Compliance
Under TCPA compliance guidelines, automated text messages require explicit consent and strict adherence to opt-out requests. SoTrustworthy automatically manages unsubscribe lists. If a customer has previously replied "STOP" to any message from your text number, SoTrustworthy immediately drops the queued request, even if your CRM marks another job as completed.
Google Review Policy Standards
In accordance with official Google review policies, SoTrustworthy never uses "review gating." We do not pre-screen customers with negative sentiment checks before showing them a link to your public Google Business Profile. Every customer processed through a completed job trigger receives a direct path to leave honest feedback.
